Playbook 06 · opt-outs & patient respect

Your patients, treated like your patients.

Every message Recallist sends carries your practice's name, so every message is a deposit in, or a withdrawal from, your reputation. These are the rules that keep the balance positive, and they are not settings anyone can loosen.

STOP means stop, permanently

A patient opts out mid-campaign

On SMS or WhatsApp, at any point in any conversation.

  1. Any day
    PatientSMS
    STOP
  2. Suppressed everywhere, instantly. The number is blocked across every campaign: recalls, win-backs and follow-ups alike.
  3. Next year
    Your team
The same patient arrives in a fresh upload. They are held back automatically with the reason shown: opted out. The override tick that works on other held-back rows does not exist for opt-outs; they are locked.
  4. Never contacted again, unless the practice deliberately lifts it

Lifting an opt-out is possible, because patients do change their minds at the front desk, but it is a deliberate act on the opted-out list in the dashboard. No upload, no tick box and no campaign can do it by accident.

The standing courtesies

Daytime only, your hours

Messages go inside the sending hours you set. Nothing arrives during dinner or at dawn.

A hard ceiling on persistence

A routine recall gets at most three messages: opener, nudge, goodbye. A lapsed patient gets at most two, and no goodbye pestering. Silence is always taken as an answer.

Only your own patients

Recallist messages the people on your list about their own care, in your name. No cold outreach, no bought data, ever.

One thread per household

Families sharing a phone get one conversation, not a barrage, which is politer and books better.

Children through their parents

Anyone 17 or under is never addressed directly. The conversation goes to the guardian, about the child.

Handovers, not dead ends

Anything the agent cannot resolve is handed to your team with the full conversation attached, and the patient is told a human will pick it up.

Why this is policy, not preference

These rules are fixed in the product rather than offered as dials, on purpose. A practice's reputation with its own patients is the asset everything else depends on, and the surest way to protect it is for the polite behaviour to be the only behaviour available.
